Plain English summary: You pay your subscription, you get the platform. You own your data. We run the platform. If you stop paying, your access pauses but your data is preserved for 90 days. We don't share your data with anyone. Built for mission-driven organizations.

1. Agreement

By accessing or using Rooted OS ("the platform"), operated by Olive Root Tech LLC ("we," "us," "the company"), you agree to these terms. The organization director who creates an account agrees on behalf of their organization.

2. The platform

Rooted OS is an AI-powered operating system for mission-driven organizations. It serves churches, childcare centers (the Rooted Care module set), schools, associations, nonprofits, community organizations, and small businesses. Features include attendance tracking, CACFP meal logging, behavior logging, IEP goal tracking, staff compliance management, Roll Call SMS, digital giving, and built-in workflow assistance.

3. Subscriptions and billing

Billing is processed through Stripe. Subscriptions renew automatically. Failed payments trigger Smart Retries over 2 weeks; after 4 failed attempts, access is paused (not deleted). Data is preserved for 90 days after access pause.

4. Data ownership

You own your data. All child records, staff records, attendance logs, behavior logs, IEP data, and organizational data belong to your organization. We store and process it to run the platform on your behalf. We do not claim ownership of your data and do not use it for any purpose other than operating the platform for you.

You may export your complete dataset at any time via the director dashboard. You may request deletion at any time by contacting privacy@oliveroottech.com.

You agree to use the platform only for its intended purpose — managing your organization's operations. You may not:

6. FERPA and child data

Organizations using Rooted Care and Rooted OS for Schools agree to maintain their own FERPA compliance obligations. Rooted OS acts as a "school official" providing services under your organization's direction. You remain the FERPA-responsible party. See our Privacy Policy for complete FERPA handling details.

7. Service availability

We target 99.5% monthly uptime. Scheduled maintenance is announced 48 hours in advance. Unplanned downtime affecting paying orgs for more than 4 hours in a month may qualify for a prorated credit — contact support@oliveroottech.com.

8. Intellectual property

The Rooted OS platform, the built-in workflow assistance, all dashboards, workflows, and brand assets (including the Rooted OS name and Rooted DS design system) are owned by Olive Root Tech LLC. Your subscription gives you a license to use the platform — not to copy, resell, or redistribute it.

9. Limitation of liability

We are not liable for indirect, incidental, or consequential damages arising from your use of the platform. Our total liability to you in any calendar month shall not exceed the amount you paid us in that month. We are not responsible for CACFP claim outcomes — the platform facilitates logging, but compliance with OSSE and USDA requirements is your responsibility.

10. Termination

Either party may terminate the subscription with 30 days' notice. Upon termination, your access pauses and your data is held for 90 days for export. After 90 days, data is permanently deleted per our retention policy.

11. Governing law

These terms are governed by the laws of the District of Columbia. Disputes shall be resolved in DC courts unless the parties agree to arbitration.

12. Changes to terms

Material changes to these terms will be communicated to organization directors by email at least 30 days in advance. Continued use after the effective date constitutes acceptance.
