How to leave us,
cleanly.

The whole point of "no lock-in" is that you don't have to be afraid to leave. This page is how it actually works — notice periods, data export, what you're refunded, what you're not.

How to cancel.

Email dante@oliveroottech.com with subject "Cancel" and your organization name in the body. That's it.

You will receive within one business day:

  1. Confirmation of receipt.
  2. Your scheduled cancellation date (based on the notice period below).
  3. A data export package ready for download.
  4. A short checklist of what closes when.

What you won't get: a retention call. A "what would change your mind." A "let me transfer you to our specialist." We will ask once for honest feedback on what went wrong — feedback that goes straight into our roadmap — but participation is optional.

The 30-day window on larger plans isn't about retention — it's about giving us time to walk through a clean data handoff and orderly hardware reclaim on Managed IT contracts.

Your data on the way out.

The first thing we do when you cancel is build your export package. You own everything in your account.

What's in the package

  • Full database export in CSV format — every table, every record, with documented schemas.
  • JSON export for machine-readable handoff to another system.
  • Document archive of every file uploaded — original filenames, original formats.
  • Audit log archive covering the full life of your account.
  • Configuration export — settings, integrations, custom workflows — so you can document what you had.
  • A README describing the schema, file structure, and where to find what.

Delivery: a secure download link, valid for 90 days, accessible via your admin account. After 90 days the package is regenerated on request for one year.

Data destruction

30 days after your cancellation effective date, we permanently delete your production data and purge it from backups within 90 days. Audit-log entries are retained with hashed references only — the entries remain; the personal data referenced is purged.

If you need a written certificate of deletion for your own compliance records, ask — we issue one.

Refunds & pro-ration.

Honest summary: we don't pro-rate down on monthly subscriptions, and we don't charge cancellation fees.

When access ends.

Your team retains access to the platform through the effective cancellation date — meaning you can finish meal logs, close out CACFP claims for the month, generate final reports, and export everything.

On the cancellation date:

  • Login sessions terminate.
  • The export package remains downloadable for 90 days.
  • SMS-based features (Roll Call, attendance reminders) stop sending.
  • Integrations are disconnected from our side.

If you cancel mid-billing-month on a smaller plan, you stay active through end-of-month at no additional charge.

Managed IT contracts.

Managed IT contracts have additional steps because hardware is involved.

You own the hardware

Every device we install — gateway, switches, access points, cameras, recording server — is purchased in your organization's name and owned by you. We don't lease.

What happens at cancellation

  1. 30-day notice gives us time to schedule a final on-site visit.
  2. Controller handoff. We transfer admin credentials for the network controller to whoever you designate.
  3. Configuration documentation. A complete written packet: network diagram, list of separate network zones, list of Wi-Fi names, firewall rules, and device inventory with serial numbers and warranty status.
  4. Optional: training session for an incoming IT person or successor MSP. Quoted separately.
  5. Backup data export. Camera footage retained per your contract's retention window; offsite backups closed.

You walk out with a fully documented, fully owned, working network. No kill-switches. No licensing locks.

Why you can leave.

The whole architecture of this company is designed around the assumption that you might leave — and that that has to be okay.

  • You own your data. Always exportable in open formats.
  • You own your hardware. On Managed IT, no leased gear, no licensing trap.
  • You own your audit log. Exportable, archivable, yours.
  • You own your decision. Notice periods exist for clean handoff, not retention.
